For Enrolment and Participation at Eileen Moore Dance Academy (EMDA).


Introduction

Welcome to the Eileen Moore Dance Academy! These Terms and Conditions govern the
enrolment, participation, and conduct of all students, parents and guardians associated with
our dance school. By enrolling in classes, workshops, or events, you agree to the contents of
this document and adhere to these Terms. Please read them carefully and contact us with any
questions before confirming your registration.


1. Enrolment and Registration

• All students must complete the official registration form and provide accurate, up-to-
date personal information before attending any class or event.

• For students under 18 years of age, a parent or legal guardian must sign the registration
and consent forms.
• Enrolment is confirmed only upon receipt of payment for the relevant term, class, or
workshop.
• Class placement is at the discretion of the school’s instructors, based on age,
experience, and skill level.
• The Eileen Moore Dance Academy reserves the right to refuse enrolment or participation
to any individual at its discretion.


2. Fees and Payment
• All fees must be paid in accordance with the payment schedule provided upon
registration.
• Accepted forms of payment include cash, credit/debit card, electronic transfer, or any
other method specified by the school.
• Fees are non-refundable except under exceptional circumstances as detailed in Section
4 (Refunds and Cancellations).
• Late payments may incur additional charges. Failure to pay may result in suspension or
termination of enrolment.
• Tuition covers scheduled classes only. Additional workshops, costumes, exam fees, and
event participation may incur extra charges.


3. Attendance, Punctuality and Exams
• Students are expected to attend all scheduled classes, rehearsals, and performances in
a punctual manner.
• Repeated absences or lateness may result in a review of the student’s enrolment status.
• Parents/guardians are asked to notify the school in advance if a student is unable to
attend a class.
• Missed classes are not eligible for refund. Makeup classes may be offered at the
school’s discretion, subject to availability.
• Students will only be entered into exams when their teachers feel the student is both
physically and mentally ready. We want exams to be a positive experience so it’s very

important not to push a student into an exam before they’re ready. The teacher’s
decision is final on this matter. Additional classes may be necessary before exams
which would be at an additional cost.

 

4. Refunds and Cancellations
• Refunds are granted only if a class is cancelled by the Eileen Moore Dance Academy or
in cases of documented medical emergency.

• Requests for refunds must be submitted in writing and will be reviewed on a case-by-
case basis.

• If a student has an injury that prevents them dancing for some time, they are
encouraged to come to class and watch, so as not to fall behind.
• No refunds are provided for missed classes, voluntary withdrawal, or dismissal due to
breach of conduct.
• In the instance where class is cancelled due to weather/any unforeseeable event, a
zoom class may be offered as a replacement, and no refunds will be given.

 

5. Conduct, Behaviour and Uniform
• All students are expected to treat instructors, staff, and fellow participants with respect
and courtesy at all times.
• Bullying, harassment, discrimination, or disruptive behaviour will not be tolerated and
may result in immediate dismissal.
• Students are responsible for following the instructions of teachers and maintaining a
positive learning environment.
• Parents and guardians must ensure their children adhere to the code of conduct
(separate document) while on school premises or at events.
• Parents must ensure students wear the correct uniform and accept that students must
remove extra baggy layers after the warmup section of class. This is to ensure teachers
can see the student’s alignment which is critical for safe dance practise.

 

6. Health, Safety, Toilet, Physical Contact
• Students/Parents must inform the school of any medical conditions, allergies, or
injuries that may affect participation.
• Eileen Moore Dance Academy will take reasonable precautions to ensure the safety of
all participants but cannot be held liable for injuries sustained during dance activities.
• Students must wear appropriate attire and footwear as specified by the school.
• Food and beverages are not permitted in studios except bottled water.
• Parents/guardians are responsible for the supervision and safety of their children before
and after class times.
• Permission is granted to seek medical treatment in the event of an accident. Including
plasters for scrapes, ice packs etc.
• Due to the nature of dance and children, some slips and falls are inevitable. In the event
of a fall, it is school policy to comfort the student. This may involve physical contact.
(Picking up the child and giving him/her a cuddle.)

• At the Parish Centre, there are 4 heavy doors separating the studio to the toilet. Young
students are accompanied to the bathroom and teachers, or an assistant will wait
outside the toilet with their foot under the door in order to prevent the child locking
themselves into the cubicle. The child is encouraged to pull up tights/pants/leotard but
in the rare occurrence when a child asks for/needs help, he/she is assisted. (Very young
children can struggle putting on or removing the leotard). Children are always treated
with absolute respect. We urge parents to bring their child to the toilet before class so
we can have as little toilet breaks as possible. Parents could also practise pulling a
leotard up and down before they attend class.

• Due to the physical nature of dance, it is important to inform you that some physical
contact between teacher and student will be necessary. This is to ensure safe dance
practice with alignment, to help with placement and line of the body. Dance is a
physical discipline that often requires tactile feedback to aid learning and ensure
dance safety and injury prevention. Our instructors may use physical contact to: Guide
students into correct alignment and posture, assist with balance and support, spot
students to prevent injury and/or as a cue to tell students when to begin. It is incredibly
important that parents understand this.

 

7. Media and Photography Consent
• Eileen Moore Dance Academy may take photographs or recordings of classes,
performances, and events for educational, promotional, and marketing purposes.
• By enrolling, students (and parents/guardians, where applicable) consent to the use of
such media unless a written objection is submitted to the school via email.
• Personal photography or recording during classes is not permitted without prior
approval from the school administration.


8. Personal Property
• All personal belongings should be clearly labelled. The Eileen Moore Dance Academy is
not responsible for lost, stolen, or damaged items.
• Valuables should not be brought to the school premises or events.


9. Class Scheduling and Changes
• Class times, dates, instructors and locations are subject to change at the discretion of
the Eileen Moore Dance Academy.
• Notice of changes will be communicated by email, on the school website, or via posted
notices at the school premises.
• In the event of inclement weather, emergency or unforeseen circumstances; classes
may be cancelled, rescheduled or provided via zoom. The school will make reasonable
efforts to provide makeup sessions. If zoom classes are provided a refund will not be
offered.

 

10. Communication
• The primary form of communication will be via email; text message or letter sent home
with the student.
• It is the responsibility of parents/guardians (or adult students) to ensure their contact
details remain current and to check communications regularly.
• If a student leaves the school, it’s the responsibility of the parent to email so they are
removed from the contact list.


11. Data Protection and Privacy
• The Eileen Moore Dance Academy collects and stores personal data solely for the
purposes of administration, communication, and compliance with legal requirements.
• Personal information will not be shared with third parties without consent, except as
required by law.
• All data will be stored securely and handled in accordance with applicable privacy laws.


12. Limitation of Liability
• While all reasonable precautions are taken The Eileen Moore Dance Academy accepts
no responsibility for personal injury, loss, or damage to property.
• Participants and their guardians agree to indemnify the school against all claims arising
from breach of these Terms or negligent conduct.


13. Amendments to Terms and Conditions
• The Eileen Moore Dance Academy reserves the right to amend these Terms at any time.
Updated Terms will be posted on the school’s website and will take effect immediately
unless otherwise stated.
• Continued enrolment or participation after amendments signifies acceptance of the
revised Terms.


14. Acceptance
• By completing your registration, you acknowledge that you have read, understood, and
agreed to abide by these Terms and Conditions. Thank you for choosing the Eileen
